Prepared for company review. This version is not company-approved or an effective published policy. Factual and approval requirements remain outstanding.
1. Scope and current services
VialRelay is the brand of VialRelay Healthcare Logistics Solutions LLC, as identified by the company owner. This policy addresses its public website and communications about healthcare logistics, specialized workforce and operational coordination. VialRelay is a launch-stage business; availability is reviewed per engagement and its technology platform remains in development. Customer operations and employment arrangements may require separate notices and agreements.
Contact currently supports saved inquiries in the website preview. Industries and partnership submissions are paused. Individual courier applications, career applications and talent-network registration do not currently transmit or save applications. Request Solutions links use Contact; there is no separate Request Solutions intake.
2. Information you provide
Contact inquiries contain your name, work email, organization, interest and message, with optional phone and operational locations. A source value may identify which website link led to the inquiry. We use this information to understand requirements, evaluate potential services and reply.
If enabled after approval, partnership inquiries may include business location, website, capabilities, coverage, fleet size, available drivers, experience, services and availability. A separate applicant notice describes the distinction between prospective application practices and currently disabled collection.
Privacy requests collect a contact name, email, request category and explanation. Please provide only what is necessary. Public forms are not intended for patient names, medical records, clinical instructions, protected health information, government identification or banking credentials.
3. Technical information and external resources
Hosting and security infrastructure may process IP addresses, request metadata, browser information and diagnostic or security events to deliver and protect the website. Exact infrastructure logging and retention settings require confirmation before company approval; this policy does not assert a verified log-retention period.
The website loads fonts from Google Fonts, which involves a browser connection to Google and transmission of normal connection metadata. Social links connect to Instagram or LinkedIn only when activated; those services have their own privacy practices. See the Cookie Policy for the current storage audit.
4. Purposes and communications
Information is used to respond to inquiries, assess potential engagements, coordinate follow-up, handle privacy or accessibility concerns and protect against spam or malicious use. Submitting a business inquiry is not consent to unrelated marketing communications.
When an inquiry is accepted, details are stored privately and a notification is attempted to info@vialrelay.com through the managed email service. A notification failure does not undo a saved inquiry. Replies and subsequent correspondence may also be retained in the company mailbox.
5. Service providers and other disclosures
Website hosting, cloud infrastructure, database storage, managed transactional email and the company mailbox can process information on VialRelay’s behalf. Personal information is therefore not confined solely to VialRelay employees. The owner reports that provider agreements and proposed procedures have been reviewed and confirmed. Supporting review details, processing locations, subprocessors and provider-specific retention capabilities still need to be recorded; no business associate agreement or particular vendor safeguard is represented as independently verified here.
Disclosure may be necessary to comply with applicable law, respond to valid legal process or protect lawful rights and safety. Any material change in purpose or business transfer must be evaluated under applicable law and addressed with appropriate notice. The application audit found no installed advertising pixel, marketing cookie or analytics SDK; production-injected technologies still require review.
6. Access and security
Application-level inquiry storage is restricted from anonymous and ordinary authenticated access. Server submission paths use validation, signed short-lived challenges, honeypots, duplicate protection and persistent email-based limits where implemented. These measures reduce specific risks; they are not a guarantee of security, HIPAA compliance or certification.
The owner-proposed staff-access policy requires authenticated, server-enforced roles for Owner/System Admin, Privacy Administrator, assigned Sales/Operations staff and authorized Recruitment/Courier administrators. It also requires MFA, least privilege, audit logs, quarterly access reviews, immediate access revocation upon termination and technical-support access only through approved temporary sessions. These are proposed requirements, not implemented or approved staff-access controls. Their enforcement across storage, email, exports and connected services must be verified before being described as operational. Do not use public forms for sensitive health information.
7. Retention and deletion
VialRelay has not previously adopted a formal retention policy. The following owner-proposed schedule awaits company approval and verified implementation. No automatic deletion or connected-provider expiration is currently represented as operational.
General customer and partnership inquiries: 24 months after the last meaningful interaction. Substantive inquiry-related business correspondence: 24 months after the last meaningful interaction. Privacy-request case records: 24 months after closure, or longer where required by applicable law.
Redundant staff email notifications: 90 days. Spam submissions, where retained: 30 days. Security and form access logs: 90 days, subject to confirmed infrastructure controls.
Temporary identity-verification materials: delete as soon as practical after verification or closure, no later than 30 days unless legally required. Public request intake does not ask for identity documents; any future verification process must be separately authorized. Routine backups: target a 30-day expiration cycle, subject to provider capabilities; this is not a verified backup configuration.
Legal holds, active contracts and other legally required retention exceptions apply. Employment, contractor, financial and regulated healthcare records require separate retention policies. Controls must cover database records, email notifications, exports and connected services. Provider limitations must be identified before claiming automated deletion. Deletion requests remain subject to reasonable verification and applicable lawful exceptions.
8. Privacy requests and applicable law
Use the Data Privacy Request page or contact info@vialrelay.com to ask about access, correction, deletion, communications preferences or another privacy concern. A submitted request is not proof of identity. VialRelay must verify identity and, where relevant, authority to act for another person before disclosing or changing personal information. Do not email sensitive identification unless separately instructed through an authorized process.
Privacy rights depend on the law that applies, the nature of the information and whether the business meets statutory coverage criteria. California and Texas consumer privacy laws are not automatically applicable merely because someone visits this website. Where a covered law applies, rights may include access, correction, deletion, portability, certain opt-outs, non-discrimination or appeal. Requests will be assessed under applicable requirements and exceptions; this notice does not assert that VialRelay meets unverified coverage thresholds.
9. Children and policy updates
The website is intended for organizational contacts and adult prospective partners or applicants, not children under 13. Please notify info@vialrelay.com if you believe a child’s information has been submitted so it can be reviewed appropriately.
The approved published version will show its effective and last-updated dates. Material changes should be communicated as required by applicable law. This review version has no effective date and is not a representation of completed company or legal approval.
